Information you provide
When you contact us you may give us your name, business name, email address, phone number, budget range and details of your project.
How enquiries reach us
The project brief form on this website does not store or send your details to a website database. When you press “Send on WhatsApp” or “Send by email”, your browser opens WhatsApp or your email app with a pre-filled message, which you choose whether to send. If you email or call us instead, your message is handled by our email or telephone provider. WhatsApp (Meta), email and telephone providers process communications under their own privacy terms.
How we use your information
We use it to reply to your enquiry, prepare proposals and quotations, deliver work you commission, keep business and accounting records, and protect our services. We rely on our legitimate interests in responding to enquiries, on taking steps at your request before entering a contract, on performing a contract, and on legal obligations for record-keeping.
Website hosting
This website is hosted by Cloudflare. To deliver and protect the site, Cloudflare processes technical data such as IP addresses and browser information, and may set strictly necessary security cookies (for example to filter malicious traffic). Some of this processing may take place outside the UK under appropriate safeguards.
Cookies
When you first visit, we ask which cookies you allow. You can change your choice at any time with the “Cookie settings” link in the website footer.
Necessary (always on). vs_consent stores your cookie choice for 12 months. Our host, Cloudflare, may set __cf_bm for up to 30 minutes to protect the site from automated abuse.
Analytics (only with your consent). If you allow analytics, Google Analytics sets _ga and _ga_* cookies, kept for up to 2 years, to count visits and see which pages are used. IP addresses are anonymised. Nothing loads until you allow it.
Marketing (only with your consent). If we run advertising, these cookies measure whether our adverts lead to enquiries. They are not used unless you allow them.
Declining analytics and marketing cookies does not affect how the site works.
How long we keep information
Enquiries that do not lead to work are kept for no longer than 24 months. Records relating to commissioned work are kept for as long as needed for the project, support and legal or accounting requirements (normally up to 6 years).
Sharing
We do not sell your information. We share it only with service providers who help us run the business (such as communication, hosting and accounting providers), installation partners where you have asked us to deliver a project, or where the law requires. For projects outside the UK, for example in Ghana, Nigeria or Rwanda, we share only the details a local partner needs to deliver the work, with appropriate safeguards in place.
Your rights
Under UK data protection law you may have the right to access, correct, delete or restrict the use of your information, to object to its use and to data portability. To use any of these rights, email sales@vertexspansolutions.com. You can also complain to the Information Commissioner’s Office at ico.org.uk.
